Responsibilities

  • Manage the full renovation and preparation of the office space: coordinate painting, repairs, and any structural improvements
  • Source and procure furniture, equipment, and supplies
  • Research, evaluate, and onboard internet and utility providers
  • Set up workstations, meeting rooms, and common areas according to JustMarkets standards
  • Manage all vendor relationships and contracts throughout the setup process
  • Track the setup budget, process vendor invoices, and report expenditures to HQ
  • Serve as the primary point of contact for all office-related matters
  • Manage office supplies, maintenance, and vendor performance on an ongoing basis
  • Handle onboarding logistics for new employees: workspace preparation, equipment setup, access provisioning
  • Manage HR administrative tasks: document preparation and processing, personnel file maintenance, coordination with HQ on HR procedures using internal HR systems
  • Support compliance with local administrative and operational requirements
  • Identify and resolve operational issues independently, escalating to HQ only when necessary
  • Support recruiting efforts by sourcing candidates, reviewing applications, and coordinating interview scheduling with hiring managers
  • Own end-to-end recruiting tasks for assigned roles, from initial outreach and candidate assessment to offer negotiation and onboarding handoff

Requirements

  • Proven experience in office administration, office management, or facilities management
  • Experience managing vendor relationships and procurement processes independently
  • Ability to manage budgets: track spending, process payments, reconcile expenses, and report to HQ
  • Familiarity with HR administrative processes: document management, onboarding paperwork, personnel records
  • Strong organizational and planning skills with attention to detail in documentation and reporting
  • Previous experience supporting recruitment processes, including candidate sourcing, application screening, interview coordination with hiring managers, candidate communication, assessment support, offer coordination, and onboarding handoff
  • High level of ownership: treats tasks as personal responsibility, not just assignments
  • Initiative: identifies what needs to be done without waiting to be told
  • Honesty and transparency: communicates clearly about blockers, mistakes, and progress
  • Detail orientation: catches gaps, inconsistencies, and errors before they become problems
  • Multitasking: manages several workstreams simultaneously without losing quality
  • Stress resilience: stays effective in ambiguous or high-pressure situations
  • Readiness to go beyond standard hours when the situation requires it, particularly during the setup phase
